Privacy Policy
This policy explains what information Mobilize Pay collects on mobilizepay.com and in the payment portals we host for clients, how we use it, and the choices you have.
Who this applies to
This policy applies to visitors to mobilizepay.com, to businesses that use our services (“Clients”), and to people who make payments through portals and checkouts we host for Clients (“Payers”). Mobilize Pay is a service of Mobilize Cloud LLC, 4260 Tuller Road, Suite 202, Dublin, Ohio 43016.
When you pay a Client through a page we host, the Client is responsible for your information and we process it on the Client’s behalf. The Client’s own privacy policy also applies.
Card data and your processor
Card numbers are entered into secure fields provided by the payment gateway and go directly to the processor selected for the Client’s service, such as Authorize.Net with International Bancard, Stripe, PayPal, CyberSource or Heartland Payment Systems. We do not store full card numbers or security codes on our servers.
The processor collects, uses and retains card and transaction data under its own privacy policy. Which processor’s policy applies depends on the processor the Client has selected. We may receive and keep a token, the card brand, the last four digits and the transaction status so the Client can see what was paid.
Information we collect
Depending on how you interact with us, we may collect:
- Contact form details: your name, email, phone, company, website and what you tell us about your needs.
- Payment portal details on behalf of Clients: Payer name, email, phone, billing address, invoice, account or statement numbers, payment amounts and dates, and the token and transaction details described above.
- Client account details: business name, contacts and the information needed to set up and support the service.
- Usage information: pages visited, browser and device type, approximate location and referring site, collected through cookies and analytics tools such as Google Analytics.
How we use information
We use information to:
- Respond to inquiries and prepare mockups and estimates.
- Build, host, operate, secure and support Client payment portals.
- Send receipts, payment notifications and nightly payment summaries.
- Detect, prevent and respond to fraud, abuse and security incidents.
- Understand how our website is used and improve it.
- Meet legal, tax and accounting obligations.
We do not sell personal information, and we do not use Payer information for our own marketing.
How we share information
We share information only as needed to provide the service:
- With the Client you are paying, who can see your payment details.
- With the payment processor and gateway selected for the Client’s service.
- With service providers that help us run the service, such as hosting, email delivery and analytics providers, under obligations to protect the information.
- When required by law, to protect rights and safety, or in connection with a merger or sale of our business.
Cookies and analytics
Our website uses a small number of cookies, including analytics cookies that help us understand traffic, and a local setting that remembers whether you prefer light or dark mode. You can block or delete cookies in your browser settings; the site will still work.
Security
We follow PCI DSS standards, use tokenization and encrypted connections (HTTPS), and limit access to information to people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Retention
We keep information for as long as needed to provide the service, meet a Client’s instructions, and satisfy legal, tax and accounting requirements, then delete or de-identify it. Processors retain transaction records under their own policies.
Your choices and rights
You may ask us to access, correct or delete personal information we hold about you, or to stop sending you non-essential emails. If you paid a Client through a portal we host, we may refer your request to that Client, since they control your information. Depending on where you live, you may have additional rights under state law; we will honor requests as required.
Children
Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this policy from time to time. The effective date at the top of this page shows when it last changed.
